Your data is read by the The Jet Calendar team, on a need-to-know basis. Amounts and payment data are visible only to the persons responsible for finance.
Organisers, Suppliers and Operators. To deliver what you booked, we share only what is necessary with the Organiser of the event, and with the charter brokers, aircraft and helicopter operators, ground transport companies, hotels, venues, restaurants, security companies and ticket issuers concerned. They process this data as independent controllers under their own privacy notices.
Service providers acting on our behalf (processors), bound by contract to process data only on our instructions and to protect it, are listed with their location in the Data Processing Terms. They include our database provider, website host, email delivery provider and the push services of your browser or phone.
Authorities and advisers. We disclose data to authorities, courts, auditors and legal advisers where the law requires it or where it is necessary to establish, exercise or defend legal claims.
5. Transfers abroad
Some of our providers, and some Organisers, Suppliers and Operators needed for an event or a trip abroad, are located in other countries, including the United States. Where those countries do not offer adequate protection, we rely on the Swiss-US or EU-US Data Privacy Framework where the recipient is certified, on standard contractual clauses approved by the European Commission and recognised by the Swiss Federal Data Protection and Information Commissioner, or on the fact that the transfer is necessary to perform the contract you asked for.
6. How long we keep it
- Requests that do not lead to a booking: deleted within 24 months of our last contact with you.
- Bookings, invoices and payment records: kept for ten years, as required by Swiss accounting law (Article 958f of the Code of Obligations), then deleted.
- Passport and identity details: deleted once the service for which they were needed has been performed, unless the law requires us to keep them longer.
- Client records: kept while you are our client, and deleted within 24 months of our last contact with you unless you ask us to keep them or a longer period is required by law.
- Records of accepted terms: kept for as long as the related booking records.
- Alert addresses: kept until you switch alerts off or your device stops accepting them, then deleted automatically.
- Your consent to invitations and news: kept until you withdraw it.
7. How we protect it
We use appropriate technical and organisational measures, described in the Data Processing Terms, including encrypted connections, encryption at rest, individual logins with restricted rights and separation of financial data. No transmission over the internet is completely secure; if a breach of security is likely to result in a high risk to you, we will inform you and the competent authority as required by law.
8. Your rights
You have the right to obtain information on and a copy of your personal data, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format, and to withdraw any consent at any time without affecting the lawfulness of processing carried out before withdrawal. Write to sales@prop.aero; we may ask you to prove your identity and will answer within 30 days. Where data is needed for a booking or required by law, deletion may only be possible once that need has ended.
You also have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or with the data protection authority of the country in the European Economic Area where you live, work or where the alleged breach took place.
9. Data of your Guests
