Terms and Conditions
Version of 6 November 2026 · Aeroprop Trading SA, trading as The Jet Calendar
These Terms and Conditions govern every use of this website and every request, reservation, purchase and participation made through it or arranged by The Jet Calendar. Please read them carefully. By ticking the acceptance box before sending a request, a reservation or a payment, you confirm that you have read, understood and accepted them, together with the Privacy Notice and the Data Processing Terms, which form part of them.
Part A · General provisions
1. Who we are
This website and the services described in these Terms are operated by Aeroprop Trading SA, a company limited by shares under Swiss law, registered in the Commercial Register of the Canton of Vaud under UID CHE-113.162.256, with its address at Chemin du Budron A14, 1052 Le Mont-sur-Lausanne, Switzerland ("The Jet Calendar", "Aeroprop", "we", "us"). We can be reached at sales@prop.aero.
2. Definitions
- Client or you: any person who uses the website, sends a request, makes a reservation or purchase, or participates in an event, and, where a person acts for a company, that company as well.
- Guest: any person for whom the Client books or requests a ticket or service.
- Third-Party Event: any event listed on this website. Every event listed is organised by a third party, not by us, including races, tournaments, fairs, festivals, shows, conferences and private gatherings.
- Organiser: the person or entity that organises a Third-Party Event and issues its tickets.
- Supplier: any independent third party that provides or arranges a service requested through our concierge, including charter brokers, aircraft and helicopter operators, ground transport companies, hotels, villas, restaurants, clubs, venues, security companies and ticket issuers.
- Operator: an air operator that holds the air operator certificate and operating licence required by the law applicable to the flight, and that operates the flight under its own operational control.
- Confirmation: our written confirmation, sent by email, that a reservation, purchase or service has been accepted and, where applicable, secured with the Organiser or Supplier.
3. Scope and order of precedence
These Terms apply to all requests, reservations, purchases and participations, whether made on this website, by email, by telephone, by messaging service or in person. Different or additional terms of the Client do not apply unless we accept them expressly in writing.
Where documents conflict, the following order applies: (1) mandatory provisions of applicable law; (2) the individual Confirmation, quote or written agreement for the booking concerned; (3) for Third-Party Events, the terms and conditions, ticket conditions and venue rules of the Organiser; (4) for concierge services, the terms of the relevant Supplier or Operator; and (5) the remaining provisions of these Terms.
4. Our role, stated plainly
So that there is no doubt about who is responsible for what:
- We do not organise any event listed on this website.
- For Third-Party Events, we are not the Organiser, and we are not an official ticket office, reseller or partner of the Organiser unless this is expressly stated for a specific event. We do not sell tickets. We provide a ticket request service: on your request, we obtain your ticket from the official source, in your name and for your account. The event, its programme, its access, its safety and its quality are the responsibility of the Organiser (Part B).
- For concierge services, we act as an intermediary that arranges services in the name and for the account of the Client. We do not own, operate, crew or maintain any aircraft, helicopter, vehicle, vessel, hotel, restaurant or venue. We are not an air carrier, an air operator, a transport company or a tour operator. For private and helicopter flights we are not a charter broker either: we pass your request to an independent charter broker, which deals with the Operator. Every service is performed by an independent broker, Supplier or Operator under its own licence, its own responsibility and its own terms (Part C).
5. Event information on this website
The event listings on this website are an information service. Dates, venues, programmes, prices and availability of Third-Party Events are compiled from public sources and from Organisers, and may change at any time without notice. We take reasonable care to keep them accurate but give no warranty that they are complete, current or error free. The information on this website does not constitute an offer; a contract is formed only as described in these Terms. Please verify essential details with us or with the Organiser before making travel or other arrangements.
Event names, logos and trademarks are the property of their respective owners. Their mention does not imply that the Organiser endorses, sponsors or is affiliated with The Jet Calendar, unless expressly stated.
6. Formation of contract
Sending a request, a reservation or a quote request through this website is an invitation to us to make an offer or to accept your order. It does not oblige us to accept it. A binding contract with us is formed only when we send a Confirmation, or where the website provides for immediate online payment, when payment has been successfully processed and the purchase has been confirmed. We may decline any request without giving reasons; any amount already paid for a declined request is refunded in full.
7. Prices, service fee and payment
For Third-Party Events we do not set ticket prices. Our quote shows, separately, the price of the ticket charged by the official source and our service fee for the request service, before you commit to anything. Amounts are stated in the currency shown. Applicable taxes are shown or invoiced as required by law. Bank, card and currency conversion charges levied by your bank or card issuer are borne by you.
Payment is made by bank transfer on the basis of our invoice. We do not accept card details by email, telephone or messaging. Unless otherwise agreed in writing, full payment is due before any ticket or service is secured. If payment is not received when due, we may cancel the reservation without liability.
8. No right of withdrawal
Swiss law does not grant a general right of withdrawal for contracts concluded at a distance. Where the law of the European Union or of another state applies to you as a consumer, you acknowledge that tickets for events and services related to leisure activities, accommodation, transport and catering provided on a specific date or within a specific period are excluded from the right of withdrawal (in the European Union, Article 16(l) of Directive 2011/83/EU). Cancellations are therefore governed exclusively by Parts B and C.
9. Your information and your Guests
You are responsible for the completeness and accuracy of all information you give us, including names as they appear in identity documents, contact details, billing details and the details of your Guests. Where you book for Guests, you confirm that you are authorised to do so, that you have informed them of these Terms and of the Privacy Notice, and that you will pass on to them all information we send you concerning their booking. You remain jointly responsible with your Guests for all amounts due.
Part B · Ticket requests for events organised by third parties
10. Nature of the service: a request service, not a ticket sale
The Jet Calendar is an information and request service. We do not sell tickets, we are not the Organiser and we are not an official ticket office, reseller or partner of any Organiser, unless this is expressly stated for a specific event. Listing an event on this website does not mean that we hold tickets for it or that the Organiser has authorised us.
How it works: (1) you send us a request for tickets; (2) we check availability with the official source, meaning the Organiser, its official ticket office or its authorised hospitality partner; (3) we send you a quote showing the official ticket price and our service fee separately; (4) only if you accept the quote do we obtain the ticket on your behalf, in your name and for your account, from that official source. We do not buy tickets in advance for resale and we do not obtain tickets on secondary or resale markets. The right to attend the event arises from the contract between you and the Organiser. We do not control the event.
11. Terms of the Organiser
When a ticket is obtained for you, you accept the terms and conditions, ticket conditions, admission rules, codes of conduct, dress codes, age limits and venue regulations of the Organiser and of the venue. We will provide them on request. The Organiser and the venue may refuse admission or remove any person in accordance with their rules, and may carry out identity and security checks. Tickets may be personal and non-transferable; resale or transfer of a ticket may be prohibited by the Organiser and may lead to its cancellation without refund. Where the Organiser requires attendees to register or buy personally, we guide you through the official process or, with your express authorisation, register you with the details you give us for that purpose.
12. Availability and delivery
All tickets are subject to availability. If, after your payment, we cannot secure the ticket you requested, we will inform you without delay and refund in full the amount paid for that ticket. That refund is your sole remedy in that case. Tickets are delivered electronically or by the means chosen by the Organiser, usually close to the event date. You must check the ticket on receipt and inform us immediately of any error.
13. Once your ticket is obtained
Tickets are not refundable, exchangeable or cancellable once it has been obtained in your name, except where the Organiser itself grants a refund under its own terms or where mandatory law provides otherwise. A change of plans, illness, travel disruption, weather or the inability to attend does not entitle you to a refund. We strongly recommend that you take out suitable cancellation and travel insurance.
14. Changes, postponement and cancellation by the Organiser
The Organiser alone decides on the programme, line-up, schedule, venue, seating and format of its event, and on any postponement or cancellation. If an event is cancelled, postponed or materially changed, the Organiser's terms determine whether a refund, a replacement or a new date is offered. We will pass on to you any refund we actually receive from the Organiser for your ticket, within a reasonable time after receipt. Our service fee is earned when the ticket is secured and is not refundable, unless mandatory law provides otherwise. We are not liable for travel, accommodation or any other costs you incur in connection with a Third-Party Event.
15. Problems at or with the event
Any complaint, claim or dispute concerning the event itself, including access, seating, programme, organisation, safety, conduct of other attendees and quality, must be addressed directly to the Organiser, which is solely responsible for them. On request, we will provide you with the Organiser's contact details and the documents of your purchase, and we will use reasonable efforts to support you, without assuming any liability for the Organiser's performance.
Part C · Concierge services, aviation and travel
16. Nature of the concierge service
Our concierge arranges, at your request, services provided by independent Suppliers and Operators, such as private flights, helicopter transfers, chauffeured cars, accommodation, restaurant and club reservations, security and event access. In doing so, we act as an intermediary in your name and for your account. The contract for each service is concluded between you and the Supplier or Operator concerned, on its terms and conditions, which we provide on request and which you accept by confirming the booking. Our own obligation is limited to the careful selection of Suppliers, the faithful transmission of your request and of the Supplier's terms, and the administration of the booking.
17. Private flights and helicopter flights
- The Jet Calendar does not own, operate, crew or maintain any aircraft or helicopter, does not hold an air operator certificate, is not an air carrier and does not act as a charter broker. Our role is limited to receiving your flight request and passing it on to an independent charter broker.
- The charter broker obtains offers from Operators and sends or presents them to you. The charter agreement is concluded between you and the Operator, through the charter broker, on the terms of the broker and of the Operator, which are provided to you with the offer. Payment for the flight is made as stated in the broker's offer. The names of the broker and of the Operator are stated in the offer or in the charter agreement.
- Every flight is operated by an Operator holding the air operator certificate, operating licence and insurance required by the law applicable to the flight, including where relevant Regulation (EU) No 965/2012, Regulation (EC) No 1008/2008 and the requirements of the Swiss Federal Office of Civil Aviation (FOCA).
- The Jet Calendar may receive a referral fee or commission from the charter broker for passing on a request. This does not increase the price you are quoted by the broker.
- The Operator and its pilot in command have sole operational control and sole responsibility for the safety of the flight. They may delay, divert, cancel or refuse a flight, refuse any passenger, baggage or item, and change the aircraft for reasons of safety, weather, air traffic control, airport restrictions, crew duty time, technical condition or legal requirements, without liability on our part.
- The liability of the carrier for passengers, baggage and delay is governed by the Montreal Convention of 1999, by Regulation (EC) No 2027/97 and by the Operator's conditions of carriage, and rests with the Operator. Any rights under Regulation (EC) No 261/2004 or comparable passenger rights rules must be asserted against the operating carrier.
- Offers are subject to aircraft and crew availability, to the Operator's acceptance and to the broker's and Operator's charter terms, including their cancellation scale. Unless stated as included, the price may be adjusted for de-icing, additional positioning, fuel price changes, airport, handling, landing, parking and navigation charges, crew overnight costs, special catering, permits and taxes, and for changes requested by you.
- You are responsible for valid passports, visas, health and entry documents for all passengers, for being at the departure point on time, and for complying with baggage limits, dangerous goods rules, customs and immigration law. Illegal substances, undeclared weapons and dangerous goods are strictly prohibited. Pets, minors travelling alone, medical equipment and special baggage must be declared in advance.
18. Ground transport, accommodation, dining, venues and security
- Chauffeured vehicles are provided by independent licensed transport companies, which are responsible for their drivers, vehicles, insurance and compliance with traffic law.
- Hotels, villas, restaurants, clubs, beach clubs and venues apply their own policies on deposits, minimum spend, check-in, guest numbers, dress code, age, cancellations and no-shows. Entry and table allocation remain at the sole discretion of the venue.
- Security services are provided by independent companies licensed where required by local law, which remain responsible for their personnel and their conduct.
19. Quotes, acceptance and payment
Our quotes are free of charge and non-binding, valid for the period stated in them, and subject to availability until confirmed. A booking becomes binding when you accept the quote in writing and we send a Confirmation. Unless otherwise agreed in writing, services must be paid in full before they are secured; Suppliers may require deposits or guarantees, which we will pass on to you. Our remuneration is included in the quoted price or stated separately and is earned when the service is secured.
20. Changes and cancellations by you
Requests for changes or cancellations must be made in writing. They are subject to the Supplier's or Operator's terms. Any cancellation or change charges levied by the Supplier or Operator, together with our service fee for the work already performed, are borne by you. Unless the Supplier's terms provide otherwise, amounts paid for confirmed services are not refundable.
21. Not a package
Unless we expressly state in the Confirmation that we act as organiser of a package, each service is selected by you and booked separately in your name with the relevant Supplier, and we do not act as organiser of a package within the meaning of the Swiss Federal Act on Package Travel or of Directive (EU) 2015/2302. Where mandatory package travel law nevertheless applies to a booking, its mandatory provisions prevail over these Terms.
22. Complaints about a service
Any defect in a service must be reported immediately on the spot to the Supplier or Operator so that it can be remedied, and to us in writing within seven days. Claims concerning the performance of a service must be addressed to the Supplier or Operator, which is solely responsible for it. We will forward your complaint and use reasonable efforts to support you, without assuming liability for the Supplier's performance.
23. Insurance and risk
You are solely responsible for appropriate insurance, including travel, cancellation, medical, accident, baggage and liability insurance. Travel and activities involve risks that are outside our control and are undertaken at your own risk.
Part D · Liability, compliance and final provisions
24. Limitation of liability
To the fullest extent permitted by law: (a) we are liable only for direct damage caused by our own breach of contract; (b) our total liability arising from any booking is limited to the amount of the fee we actually received for that booking; (c) we are not liable for indirect or consequential damage, loss of profit, loss of opportunity, loss of enjoyment or reputational damage; and (d) we are not liable for the acts, omissions, insolvency, delays or defaults of Organisers, Suppliers, Operators, venues, payment providers or other third parties. Nothing in these Terms excludes or limits liability for unlawful intent or gross negligence (Article 100 of the Swiss Code of Obligations), for death or personal injury caused by our own fault, or any other liability that cannot lawfully be excluded.
25. Force majeure
We are not liable for any failure or delay caused by events beyond our reasonable control, including natural events, severe weather, epidemics, war, terrorism, civil unrest, sanctions, government action, strikes, airspace or airport closures, failures of public networks or of third-party suppliers.
26. Compliance, sanctions and anti-money laundering
We may request identification and information on the Client, its Guests, the beneficial owner and the origin of funds where required by law or by our Suppliers, and we may refuse or cancel any booking without liability where (a) this information is not provided, (b) the Client, a Guest or a beneficial owner is subject to sanctions of Switzerland, the United Nations, the European Union, the United Kingdom or the United States, or (c) the booking would otherwise breach applicable law or expose us or a Supplier to legal or reputational risk. Payments in cash above legal thresholds and payments from third parties are not accepted without our prior consent.
27. Indemnity
You indemnify us against claims, losses and costs arising from incorrect information you provide, from a breach of these Terms or of a Supplier's or Organiser's terms by you or your Guests, or from the conduct of you or your Guests.
28. Website use and intellectual property
All content of this website, including texts, design, photographs, films, logos and software, is protected by intellectual property law and belongs to Aeroprop Trading SA or its licensors. It may be viewed for personal, non-commercial use only. Copying, scraping, automated extraction, framing or any other use requires our prior written consent. You must not misuse the website, interfere with its security, submit false requests or use it for any unlawful purpose. Links to third-party websites are provided for convenience; we are not responsible for their content.
29. Communications and alerts
We communicate with you by email and, where you choose, by telephone, messaging services and alerts on your device. Invitations and news are sent only if you ask for them, and you can stop them at any time. Alerts can be switched off from the bell on the website or in the settings of your device.
30. Data protection
We process personal data in accordance with the Swiss Federal Act on Data Protection and, where applicable, the EU General Data Protection Regulation, as described in the Privacy Notice and the Data Processing Terms, which form an integral part of these Terms.
31. Record of acceptance
When you tick an acceptance box, we record the version of these Terms, of the Privacy Notice and of the Data Processing Terms that you accepted, together with the date and time, in the record of your request. This record serves as evidence of your acceptance.
32. Changes to these Terms
We may amend these Terms at any time by publishing a new version on this website. The version accepted at the time of your booking applies to that booking.
33. Severability, assignment and language
If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in force and the invalid provision is replaced by a valid one that comes closest to its purpose. We may assign our rights and obligations to an affiliated company or to a successor. These Terms are written in English; any translation is for convenience only and the English version prevails.
34. Governing law and jurisdiction
These Terms and all contracts with us are governed by the substantive laws of Switzerland, excluding its conflict of laws rules and the United Nations Convention on Contracts for the International Sale of Goods. The exclusive place of jurisdiction is Lausanne, Switzerland. Mandatory rules on jurisdiction and on the protection of consumers in their country of residence remain reserved; in particular, consumers may also bring proceedings at their place of domicile where the law so provides.
